Refund & Cancellation Policy

XV Elite is committed to providing a professional rugby talent, recruitment, and performance platform. This Refund & Cancellation Policy outlines how membership cancellations, subscription payments, and service refunds are handled.

By purchasing a membership or service from XV Elite, you agree to this policy.


1. Membership Subscriptions

XV Elite may offer free and paid membership plans for players, coaches, referees, support staff, recruiters, agents, schools, universities, academies, clubs, and professional teams.

Memberships may be billed on a monthly, annual, or once-off basis depending on the selected package.


2. Membership Cancellation

Members may cancel their subscription at any time.

Cancellation will:

  • Prevent future recurring payments from being charged.

  • Allow continued access to membership benefits until the end of the current billing period.

  • Not affect any completed transactions already processed.

Once a subscription has been cancelled, access to paid membership features will end when the active billing period expires.


3. Membership Refunds

Unless otherwise required by applicable South African consumer protection laws:

  • Membership fees already paid are non-refundable.

  • Partial refunds are not provided for unused membership periods.

  • Failure to use membership benefits does not qualify for a refund.

  • Users remain responsible for cancelling their subscriptions if they no longer wish to continue using the service.

Refund requests will be considered only in exceptional circumstances and at the sole discretion of XV Elite.


4. Duplicate Payments

If a user is accidentally charged more than once for the same membership or service, XV Elite will investigate the transaction and, where appropriate, issue a refund for the duplicate payment.

Users should report duplicate payments within 30 days of the transaction date.


5. Technical Errors

If a payment is processed successfully but membership access is not activated due to a technical issue, XV Elite will work to resolve the issue promptly.

Where the issue cannot reasonably be resolved, a refund or account credit may be considered.


6. Performance Services

XV Elite may offer performance-related services, including but not limited to:

  • STATSports athlete monitoring

  • Match analysis

  • Training analysis

  • Performance benchmarking

  • Data reporting

  • Player development services

Once a performance service has been delivered, completed, or substantially performed, the service is considered fulfilled and is generally non-refundable.


7. Customised Services

Customised services including:

  • Performance reports

  • Benchmarking reports

  • Recruitment consultations

  • Data analysis projects

  • Bespoke performance packages

are non-refundable once work has commenced.


8. Event, Testing, and Performance Sessions

Where XV Elite provides physical testing sessions, GPS monitoring sessions, workshops, or performance events:

  • Cancellations made more than 7 days before the scheduled date may be eligible for a reschedule or credit.

  • Cancellations made within 7 days of the scheduled date may not qualify for a refund.

  • Failure to attend a scheduled session without notice may result in forfeiture of the booking fee.

XV Elite reserves the right to determine appropriate alternatives in exceptional circumstances.


9. Organisation Packages

Schools, universities, academies, clubs, and professional teams purchasing organisational memberships or services may cancel future renewals at any time.

Fees already paid for active subscription periods are generally non-refundable unless otherwise agreed in writing.


10. How to Request a Refund

To request a refund or report a billing issue, please contact:

  • Full name

  • Email address associated with the account

  • Transaction date

  • Proof of payment

  • Reason for the refund request

XV Elite will review requests and respond within a reasonable timeframe.


11. Chargebacks

Users are encouraged to contact XV Elite before initiating a chargeback through their payment provider.

Where a chargeback is initiated, XV Elite reserves the right to:

  • Suspend membership access

  • Restrict account functionality

  • Provide transaction records to the payment provider during the investigation process


12. Changes to This Policy

XV Elite reserves the right to update or amend this Refund & Cancellation Policy at any time.

Any changes will be published on this page and will take effect immediately upon publication.
